_*About ACTI*_ The Alberta Construction Training Institute (ACTI) is a leading provider of work-ready training programs for workers across Canada. We deliver industry-recognized courses, both in-class and online, including Fall Protection, Confined Space Entry, Mobile Elevated Work Platform (MEWP), and other safety certifications. ACTI is also at the forefront of Virtual Reality training development, integrating immersive construction simulators into classroom and blended learning environments. In addition, we deliver government-funded pre-trades programs that help individuals build successful careers in the skilled trades. _*Position Summary*_ ACTI is seeking a highly organized, detail-oriented, and dependable *Administrative Assistant* to join our team. This position requires an individual who thrives in a *fast-paced environment*, can *manage multiple priorities simultaneously*, and maintains a high level of accuracy while handling a variety of administrative tasks throughout the day. The successful candidate must be able to effectively juggle *incoming phone calls, emails, in-person client inquiries, billing, scheduling, data entry, and general office administration* while maintaining professionalism and attention to detail. _*Key Responsibilities:*_ * Perform a variety of day-to-day administrative duties in a fast-paced environment. * Use *Excel* for data entry, reporting, and record management. * Learn and operate our *online learning management system* (LMS) to issue coupons, manage course enrollments, and coordinate proctoring procedures. * Handle *client bookings* by phone and through our online platform, ensuring accuracy and excellent service. * Provide general administrative support including filing, scheduling, and responding to inquiries. * Track inventory and order training materials, maintaining precise and up-to-date logs. * Answer incoming calls and provide helpful, professional assistance to clients and team members. * Prepare and manage coffee for clients attending in-person training sessions. _*Key Qualifications*_ * Exceptional organizational skills and attention to detail. * Strong ability to multitask and prioritize competing demands in a busy office environment. * Ability to quickly learn, retain, and recall information, processes, and procedures. * Advanced computer skills with a strong proficiency in Microsoft Office, particularly Excel. * Comfortable working with databases, online systems, and cloud-based applications. * Excellent verbal and written communication skills. * Strong customer service skills when interacting with clients in person, over the phone, and by email. * Ability to work independently while remaining productive and accurate under pressure. * Experience with QuickBooks, billing, invoicing, and record management is considered an asset. * Experience in the construction, safety, or training industry is preferred. _*What We're Looking For*_ This is not a routine desk job.
